Customize role and group properties

Customize the building blocks of role and group descriptions. Define their properties to fit the needs of your organization.

Only Owners of an account can edit property fields to role and group descriptions.

Default properties in role and group descriptions

By default, every role and group description has three properties: Purpose, Responsibilities, and Notes.

Editors and Owners will be able to fill in these text fields in the role or group editor.

If your map is visible to the public, the Notes field are hidden from public visitors by default.

Locating the customization setting

To customize the role and group properties, click on the "Settings" at the bottom left corner of the screen.

Once in the settings, select "Role and profile configuration" from the left-hand settings menu.

From there, you will be able to add, rearrange, edit, translate, or delete property fields.

Changing these properties will affect all roles and groups across your entire map. It is not possible to add a property field solely to a specific role or group on your map.

Changing the order of property fields

You can change the order that the fields appear in.

Click on the grid symbol to the left of any field to drag and drop it into your desired order. The change of order will be reflected automatically in all roles and groups on the map.

Adding a custom property field

You have the option to add your own custom property field for role and group descriptions. This feature is useful for sharing extra details such as shared resources, required skills, or short guidelines.

To add a new custom text field, click on the button "Add field".

Customize your field with a name, size of the desired text entry, and number of entries. If your map is visible to the public, the additional privacy setting appears.

Click "Add" when you're satisfied and the new field will be added automatically to all roles and groups on the map.

Editing property fields

You can edit any property field for role and group descriptions. You can even edit the default fields.

Update name, size of the entry, number of entries, or privacy setting.

Changing the number of entries will either merge or split text entries. There will be no information loss, but note that this change is irreversible.

Translating property fields

Property field names appear to users in the language they set in their personal settings. If your organization supports more than one language, you can provide translations for field names.

To translate the property field name, simply click "Translate".

Translations are possible for the following languages: English, German, Dutch, French, Swedish, Italian, and Spanish. If you leave a translation empty, the field name will be taken as the default.

Once you're satisfied with the translations, click "Update translation" to save your edits.

Only the field name will be translated and not the field entries.

Deleting property fields

You are also able to completely remove a property field. You can even remove the default fields.

Simply click the X symbol on the right of any field to delete it. The field will be removed automatically from all roles and groups on the map.

Deleting a custom field is permanent and cannot be undone. There will be a loss of information, as all entries that have been made for that field will also be deleted and cannot be recovered.
